End of Forwarding University Emails to Private Addresses

21. 1. 2025

As of February 1, 2025, it will no longer be possible to forward university emails to private email addresses. This change is implemented to enhance data security, protect the university's critical infrastructure, and comply with legislative requirements.

Why is this change happening?

Forwarding work emails to private addresses presents significant security risks:

  • Cybersecurity Act (ZoKB): Forwarding emails to private accounts may violate Act No. 181/2014 Coll., as it compromises the security of information systems.
  • Critical Infrastructure Protection: Preventing the leakage of sensitive information and ensuring the reliability of university systems.
  • Personal Data Protection (GDPR): Forwarding to private addresses may lead to the leakage of sensitive data of students and employees.
  • Prevention of Phishing and Cyber Attacks: Private email accounts often lack sufficient protection against these threats.
  • Professional Communication: Using a university email address ensures a professional standard and allows better control and auditing of communication.

What to do next?

Due to this change, it is necessary to manage emails through the university’s Microsoft 365 system. We recommend the following steps:

  • Disabling email forwarding in Microsoft 365
Go to your Microsoft 365 account settings and disable any email forwarding to private addresses. A detailed guide on how to do this can be found here.

  • Logging into Outlook via the web interface
If you want to access your emails via the web interface, log in at o365.mendelu.cz using your university account (login: login@mendelu.cz, password: same as for UIS). A detailed guide can be found here.

  • Logging into the Outlook application on Windows
To use the Outlook email client on your Windows computer, install the Outlook application (if you haven't already) and log in with your university account. A guide on how to add an account and log in can be found here.

  • Adding another account in the Outlook application
If you need to add another email account (e.g., personal), you can easily do so via the Outlook application. Details and instructions can be found here.

If you have any questions or need assistance, do not hesitate to contact the university’s IT department.

Your security and the protection of university systems are our priority. Thank you for your understanding and cooperation.
